On the day of the visit

  1. 1

    The patient scans the QR

A poster on the door or in the lobby opens the queue in the browser without an app or account.

  2. 2

    Get a number

See a number such as R-017 and how many people are ahead. Complete the form first if enabled.

  3. 3

    Wait wherever convenient

Wait in the lobby, outside or in a car. Browser or Telegram notifications arrive when a few people remain ahead and when called, as the patient chooses.

  4. 4

    Enter when called

The screen shows the number and room. Staff finish the visit with Done or mark an absent patient as No-show.

The lobby screen shows no names

  • The screen shows a ticket number and service point, without names, contacts or form answers.
  • One screen can show several clinical queues, newest calls first and waiting counts for each below.
  • Owners and managers connect screens by entering the displayed code. Available on Business and Network. See TV displays.

Forms and patient data

  • By default, patients enter neither names nor contacts.
  • Managers enable forms on Business and Network, with up to 10 fields per queue: name, phone, date, list, checkbox and others. Agreement to the service rules is added automatically.
  • Staff see answers on the board; owners and managers also in CSV. They are absent from screens, notifications and tickets.
  • Answers delete automatically after 30 days. Ticket number, times and status remain in statistics.
  • With client records on, a patient record keeps only the fields you mark Save in client record, such as phone and date of birth, and is deleted 24 months after the last visit.
  • Keep a medical-record number or another internal number in a Staff only field: reception enters it, and patients never see it in the form.

Note. Forms organise the queue: ask only what is needed for service. Kyuko is not a medical records system and has no diagnoses, prescriptions or medical records. Do not request health information in forms or enter it in client records.

Time bookings, doctors and walk-ins

Bookings-only queues reserve access for booked patients. On arrival, check in from 15 minutes before the time to get a queue number.

  • Time booking suits tests, treatments or vaccination where time matters more than a particular doctor. Set duration and simultaneous capacity. See Time booking.
  • Doctor booking uses a timed service and the doctor’s schedule. Patients see only available times. See Specialist booking.
  • Reception can also accept walk-ins in a mixed queue, with bookings ahead.
  • The Ukrainian dashboard and booking page call the doctor “maister” (specialist). This role name cannot yet be changed.

Patient feedback

After Done, patients can rate the visit from 1 to 5 stars and comment on the ticket page. Only owners and managers see feedback. The Staff report shows ratings and call-to-completion time per staff member. Collection can be disabled per queue. See Visitor feedback.

Choosing a plan

Time and doctor booking are on «Business» and «Network». A small clinic usually needs Business: 1 location, 5 queues; 10 service points, 10 staff seats. Multiple clinics can use Network: 5 queues, 10 service points, 10 staff seats per location. Try Free with 1 location, 1 queue; 3 service points, 3 staff seats. See Pricing.

Points to consider

  • Booked patients are ordered by appointment time, followed by walk-ins in arrival order. There are no special-priority categories. Operators cannot reorder or skip tickets.
  • Notifications use the browser or Telegram. On iPhone, website alerts require adding the site to the home screen. No SMS.
  • Staff add patients without smartphones manually. These tickets have no notifications, so patients are called by voice or screen number.
  • The queue interface is in Ukrainian.

Frequently asked questions

Are patient names visible on screen?

No. Only ticket numbers and service points appear, without names, contacts or form answers.

Must patients install an app?

No. Scan the QR and open the queue in a browser. See Walk-in queues.

What about patients without smartphones?

Staff manually add a ticket without a browser connection or notifications. Call the patient by voice or on the screen.

Can each room have a separate queue?

Yes. Each service or room can have its own QR, numbers and settings. The plan determines the number of queues.

Can I book a patient for a set time?

Yes, on «Business» and «Network». Patients choose a time and, in specialist mode, a doctor. Receptionists can book by phone and reschedule.

Does Kyuko store medical data?

It is not designed for medical records, diagnoses or prescriptions. You configure the forms, so do not request health information. Staff see answers, which delete after 30 days. A client record keeps only the fields you mark and is deleted 24 months after the last visit.

Can a patient jump the queue?

No. The system orders bookings by appointment time, then walk-ins by arrival time. Operators cannot reorder or skip tickets.

What if a patient does not approach when called?

Staff mark No-show. Returning patients join again and receive a new number.
