How it works
Book on your phone, check in on site, get called
Booking scene: a visitor chooses tomorrow at 12:30, checks in with “I am here” on the day, receives A-105 and is called to counter 1
Available times by day; phone or email, no login
“I am here” opens 15 minutes before the time and issues a number
Booked visitors join ahead of walk-ins
Bookings only or combined with walk-ins
Enable booking per queue in “How the queue works”. Two operating modes accept bookings.
- Bookings only
- Only booked visitors receive a number. The queue offers booking or opening an existing booking to check in. Visitors cannot join via QR without a booking, but staff can add someone manually.
- Walk-ins and bookings
- The queue offers both joining now and booking a time. Visitors who book and check in join ahead of walk-ins. Anyone who prefers not to wait for their booked time can join the walk-in queue now.
This page covers time-only booking: equal slots with a configured capacity. When visitors also choose services and a specialist, use specialist booking.
How visitors book
- 1
Open booking
Scan the queue QR code or follow a booking link from a website, social media or messenger. No login or app.
- 2
Choose a day and time
See available times by day, as far ahead as the business allows.
- 3
Leave contact details
Phone is requested by default. The business can request email instead or as well, plus configured form fields and agreement to the service rules and personal data processing.
- 4
Get the booking page
It shows time and location, Add to calendar, Reschedule and Cancel booking. A confirmation email arrives if email was provided.
- 5
Arrive and tap “I am here”
Check-in opens 15 minutes before the booked time. The visitor gets a number ahead of walk-ins.
What businesses configure
Owners and managers configure each queue’s hours and rules in its Booking section.
| Setting | Meaning | Range | Default |
|---|---|---|---|
| Appointment duration | Minutes between consecutive booking times | 5–240 min | 30 min |
| Simultaneous visitors | Bookings accepted for one time | 1–50 | 1 |
| Booking hours | Bookable hours grouped by days, with breaks | Up to 4 ranges per day | Not set |
| Days ahead | How far ahead free times appear, including today | 1–60 days | 14 days |
| Booking cutoff | How long before the start visitors can still book | From the start time to one day before | One hour before |
| Late-arrival allowance | Minutes after the booked time when check-in remains open | 0–60 min | 10 min |
| Days without bookings | Holidays, closures or repairs, entered as date ranges | Up to 366 days | No |
Note. Changing settings does not cancel existing bookings, even if capacity per time is reduced.
Booking page and emails
- Visitors can reschedule or cancel before the appointment starts. The booking link stays the same.
- The booking link is a key: anyone holding it can reschedule or cancel. Do not forward it to others. The phone number is partially masked on the page.
- Add to calendar creates an event with the location address and booking link, with a reminder one hour before.
- Each queue allows one pending booking per browser and phone number, or per email when booking uses email only.
Emails are sent only if an email address was provided:
- Booking confirmed: immediately after a visitor or staff member creates the booking;
- Booking reminder: one day before. Bookings made less than one day and two hours before the visit receive no reminder;
- Booking cancelled: when staff cancel. Booking rescheduled: when staff reschedule and select Send an email. Visitors see their own changes on the booking page, so those do not trigger emails.
Check-in and queue order
Check-in opens 15 minutes before the time and closes after the configured late-arrival allowance. Earlier or later attempts are rejected.
- From the queue page after scanning its QR code. Dynamic queues require the code currently on screen.
- From the booking page when the queue uses printed QR.
- Staff can check in someone without a smartphone using Arrived.
- Checked-in bookings get a number ahead of walk-ins. Booked visitors are ordered by appointment time.
- A booking not checked in before the window closes becomes No-show. In mixed queues the visitor can join as a walk-in; in bookings-only queues they can rebook or ask staff for manual entry.
Note. Appointment time is a guide, not an exact promise: the queue moves in real time and staff may still be busy.
What staff can do
- Book by phone: owners, managers or operators enter the requested phone or email and confirm the visitor’s agreement to the rules. The visitor booking cutoff does not apply to staff.
- Reschedule to another free time before check-in closes, for example when someone calls about a delay. Send an email informs them of the new time if email was provided.
- Cancel a pending booking at any time. An email is sent if an address was provided.
- The Client field in the dialog finds a regular client: a record from client records fills the form, and its internal fields appear under Internal · staff only.
- The Bookings page and calling board show daily bookings with time, status, phone, email and form answers. Staff see only queues they have access to.
Booking links and QR codes
Links and QR in the Booking section gives owners and managers a booking address, a printable QR code in SVG or PNG and a link to the location page.
- The location page lists queues currently accepting bookings. It also states when no bookings are available.
- The queue QR on a poster also leads to booking: queues with booking enabled offer it on their page.
Booking analytics
- Booking totals, check-ins, no-shows, cancellations by visitors and staff separately, and upcoming bookings.
- The no-show rate is the share of unchecked-in bookings among checked-in and missed bookings. Cancelled and still-open bookings are excluded.
- Check-in punctuality: early, on-time and late arrivals, plus median deviation from the booked time.
- Booking channel: visitors booking via a link or staff booking by phone, with a no-show rate for each.
See Queue analytics.
Booking data
- Phone, email, form answers and consent are stored separately and automatically deleted 30 days after the appointment date. Rescheduling shifts this period. Booking time and status remain.
- Contact data is absent from emails, calendar files, screens and notifications. See the Privacy policy.
Booking and plans
Time booking is on «Business» and «Network», within the plan’s queue limit. It is not on Free. See Pricing.
Note. After a downgrade, existing bookings remain: viewing, cancellation, calendar files and check-in still work. New bookings and rescheduling in an unavailable queue stop.
What booking does not include
- SMS and Viber: booking messages use email. After check-in, ticket notifications use the browser or Telegram.
- Prepayments, deposits, group bookings or a waiting list for occupied times.
- A shared location schedule: booking hours belong to each queue separately.
Frequently asked questions
Do visitors need an app or account?
No. Visitors choose a time in the browser, provide the phone or email requested and accept the rules. The booking link stays on their phone and is also emailed if an address was given.
How do bookings-only and mixed queues differ?
Bookings-only queues issue numbers only to booked visitors; staff can manually add others. Mixed queues also accept walk-ins, with checked-in bookings ahead.
How many people can book one time?
The configured capacity: 1–50, default 1.
What if someone is late?
Check-in stays open for 0–60 minutes after the time, default 10. Staff can reschedule before this window closes if the visitor calls. Otherwise the booking closes as No-show.
Can staff book or reschedule for someone?
Yes. Book by phone creates a booking, and Reschedule changes its time. With an email address and Send an email selected, the visitor receives the new time.
Does Kyuko send booking SMS?
No. Booking messages use email only if provided. After check-in, the ticket uses browser or Telegram notifications.
Can I book a specific specialist or doctor?
Yes. Specialist booking lets visitors choose services, a specialist and a time free for the whole visit. The dashboard calls this the service-with-a-specialist booking mode.
